Executive Assistant (Temporary)

Summary:

We are seeking a highly motivated and detail-oriented individual to join our sales team as a Sales Support/Executive Assistant professional. The Sales Support role is responsible for providing administrative support to our sales team, management assistance, promoting effective collaboration, planning, and coordinating staff meetings, customer meetings & events as well as assist on advancing the Sales Enablement initiatives of the division. The ideal candidate will be a team player and have great communication skills to work effectively with other departments.

In this role you will:

Sales Support:

  • Provide general administrative support to the sales team as needed.
  • Completing and following up on expense reports, timesheets, and other forms.
  • Filing, copying, editing, and preparing documents.
  • Coordination with Sales Enablement Manager International to achieve goals.
  • Developing and updating forms, manuals, procedures, and policies.
  • Planning and coordinating staff/customer meetings, events, and team-building activities.

Sales Enablement:

  • Assist with the implementation of enablement programs to support growth, retention, and productivity of the sales organization, specifically focusing on decreased time to first sale and increased rep productivity.
  • Support client facing team members with content, messaging, coaching, etc.
  • Work in close coordination with the Learning and development team and Sales Enablement Manager to identify and define training needs for the sales team, building a job training program to ensure sales reps have the knowledge and skills required to sell all products and services.

Management / Executive Assistance:

  • Control of signature with contracts, invoices, internal documentation, etc.
  • Attend, screen and manage internal/external telephone calls, correspondence and requests.
  • Organize and structure travel itineraries, travel expenses, holidays, purchase orders, etc.
  • Draft communications on the Commercial Head’s behalf.
  • Arranging a complex calendar of meetings and travel, including proactively ensuring that all direct reports have all necessary information and materials.
  • Completing and following up on expense reports, timesheets and other forms.
  • Filing, copying, editing and preparing documents and performing research
  • Maintain Commercial head agenda updated on a daily basis, and in his absence resolve and/or delegate when necessary to the appropriate person.
  • Coordination with Executive Assistants around the world

Department Support:

  • Provide support at department level.
  • Assisting and working with RVP’S as needed on projects
  • Establish excellent internal and external contacts at all levels e.g. with Finance, Legal, Operations, Marketing, People & Culture and with relevant external suppliers
  • Be the SPOC for and dealing with routine department enquiries by phone, letter or email
  • Work collaboratively with other support roles within the Department to ensure the smooth running of the Department.
  • Where necessary, assist the teams by taking on specific tasks in organizing events, catering requirements, external meetings and other projects.
  • Helping to prepare presentations for the team using PowerPoint and video/audio/WebEx requirements.
  • Act as the main point of contact between the Department Head and his direct reports in all sites.
  • Perform logistics for meetings, events, visits, conference calls,etc.

Special Projects:

  • Participate and support in ad-hoc special projects.

About the ideal candidate:

  • Bachelor Hospitality Management / Business / Economist / Engineer
  • Solid understanding of the Hotel Operations
  • Microsoft 365, Operational Hospitality Technology tools, if know Service Optimization Product is a plus
  • Ability to work in a global, complex and matrix organization.
  • Good interpersonal and communication skills, both written and verbal with experience of liaising at all levels including the most senior internal and external contacts.
  • Proven ability to work within a team environment, fast paced & flexible.
  • Good time-management and organizational skills knowing when to prioritize conflicting priorities as well as tracking progress on a wide range of tasks.
  • Strong level of initiative and creativity when tackling tasks.
  • Proficiency in all office applications and adeptness at learning new packages/programs. Knowledge of corporate tools (purchasing system, AeTM, SAP-Travel expenses, Coupa, Salesforce) a plus.
  • English and one additional language. French, German, Spanish or Italian is considered a plus
